Suppliers must update details on Central Supplier Database to stay active
The Department of Infrastructure is requesting all suppliers to update important address details on the Central Supplier Database (CSD) by 31 March 2025 to remain active on the system.
National Treasury issued a notice effective from 1 August 2024 to inform suppliers that the proof of address (PoA) for every physical address must be uploaded on to the CSD. Suppliers are now also required to update their commodities delivery location on the database. The profile of any supplier who has not complied or whose uploaded records are older than 3 months will be deactivated on the CSD.
Please note:
- Potential suppliers of goods and services to the South African government are required to include at least one active physical and one postal address on the CSD.
- Only a physical address can be designated as the preferred address, and each physical address must be supported by a proof of address document.
- Uploaded PoA documents should not be older than 3 months, and must be in PDF format.
- Uploaded images will be accepted and converted into PDF documents, and
- If an acceptable PoA is not provided for a physical address, the supplier will be unable to submit updates to its profile on the Overview tab.
Suppliers can use one of the following documents for PoA purposes:
- A utility bill reflecting the name and residential address of the legal entity;
- A bank statement reflecting the name and residential address of the account holder if the legal entity previously transacted with a bank registered in terms of the Banks Act;
- A recent lease or rental agreement reflecting the name and residential address of the legal entity;
- A municipal rates bill reflecting the name and residential address of the legal entity;
- A mortgage statement from a registered institution reflecting the name and residential address of the legal entity;
- A telephone or cellular telephone account reflecting the name and residential address of the legal entity;
- A valid television licence reflecting the name and residential address of the legal entity;
- A recent long-term or short-term insurance policy document issued by an insurance company reflecting the name and residential address of the legal entity;
- Recent motor vehicle licence documentation reflecting the name and residential address of the legal entity; or
- A statement of account issued by a retail store that reflects the residential address of the legal entity.
